What is OCR?

Optical Character Recognition is the process of turning a page of text into an electronic format readable by a word processor or other computer software.

Basically anything currently on paper can be placed into your favorite software as editable text files.

What are some things I need to consider?

When having OCR done, here are a few things you will want to weigh when pricing:

  • Basic OCR, which you proof and edit
  • OCR, light proof, you double check and edit
  • OCR and full proofing (word for word, comma for comma)
  • OCR, full proofing and reformatting
  • Or any combination of the above

You may want to choose light proofing if you are editing or updating something, or have it thoroughly proofed and reformatted ready for printing, PDF, or your book designer.

Another thing to consider: Can the OCR specialist work with your original without taking it apart or cutting it up? This is especially important if you have a single book for reprint. You may not want it defaced.

Are you automated?

Small jobs are done by hand and are not cut up. If required, they are returned in the same condition sent. KatScan - OCR prefers to keep a copy if at all possible.

KatScan - OCR is fully automated for larger jobs. We prefer to cut apart books for this process. Please contact us and let us know what your needs are.

Automated jobs are still visually checked to ensure that a quality product is produced.

Why should I convert my paper documents into electronic formats?

Electronic documentation is more economical and useful than saving your files in a cabinet. When your paper documents, files, manuals, or books are placed into electronic format:

  • you save space and time looking for them.
  • you can make unlimited clean copies.
  • you can share the information with customers, clients, and employees.
  • you can edit the information.
  • you can publish the information as a book, a newsletter, a catalog, or on the web.
  • you can convert the document to other formats.
  • you can index it.
  • you can make it searchable.
  • you can use it for databases.
  • you can place the information into other software and number crunch.
  • you can store whole file cabinets of paper on CDs or a portable hard drive.
  • and much more.
